Who we areShowMyAI is an education technology platform designed to help students and educators use artificial intelligence transparently, responsibly and effectively.The Service may include:the ShowMyAI web platform;the ShowMyAI browser extension;AI-use records and reports;learning and reflection activities;AI capability records and portfolios;institutional reporting and analytics; andintegrations with universities and other education systems.Where your university, college or other organisation provides you with access to ShowMyAI, that organisation will generally determine how your personal information is used for its educational and institutional purposes.In those circumstances, your institution will ordinarily act as the data controller and ShowMyAI will process relevant personal information on its behalf, subject to our agreement with that institution.For some limited activities, such as operating and securing our own Service, managing direct relationships with users, meeting our legal obligations and administering our business, EthosEd Ltd may act as a data controller in its own right.If you are unsure which organisation is responsible for a particular use of your information, you can contact us at privacy@showmyai.ai.2. Our approach to the browser extensionThe ShowMyAI browser extension is designed around user choice and data minimisation.The most important things to understand are:The Extension does not continuously record your activity.Nothing is captured unless you choose to capture it.We do not collect your general browser history.The Extension is designed to access only the information needed to provide the capture functionality you choose to use.A captured AI conversation is initially stored locally on your device.A local capture is not automatically sent to ShowMyAI.A local capture is not available to your university through ShowMyAI.You choose whether to submit a capture to the ShowMyAI Service.The Extension is intended to help you create a transparent record of selected AI use. It is not designed to act as general browsing or surveillance software.3. What happens when you capture an AI conversationWhen you choose to capture an AI conversation using the Extension, we may capture information needed to create that record.This may include:prompts you entered;responses generated by the AI service;the AI tool or service used;the page title;the relevant page URL or chat identifier; andtimestamps associated with the capture.We may also process limited technical information where necessary to operate, maintain and support the Extension, such as:browser type;browser version;Extension version;device type;operating system; andrelevant diagnostic or performance information.The Extension is designed to limit access to information required for its intended functionality.It does not need access to your general browser history to provide its core capture functionality.4. Local storage and submitting a captureWhen you capture an AI conversation using the Extension, the capture is initially stored locally within your browser on your device.At this stage, the capture has not been submitted to the ShowMyAI platform.Where the functionality is available, you can review, edit or delete a capture before submitting it.Information that remains solely within your local browser storage is not available to your university through the ShowMyAI Service.Captured information is sent to the ShowMyAI Service only when you explicitly choose to submit it.Once submitted, the information may be processed by ShowMyAI in accordance with this Privacy Policy and, where you access ShowMyAI through an institution, our agreement with that institution.5. Information we process through the ShowMyAI ServiceDepending on how ShowMyAI is being used, we may process the following categories of information.Account and identity informationThis may include:your name;email address;profile picture URL;organisation or university identity; andinformation provided by your institution's identity or authentication provider.AI interaction informationWhere you choose to submit a capture, this may include:user prompts;AI responses;the AI tool used;timestamps;page title; andrelevant URL or chat identifier.Course and learning informationWhere ShowMyAI is integrated with your university or learning platform, this may include:course or module identifiers;assignment or activity information;cohort information;learning activities;submitted reflections;AI capability or skills information; andportfolio information.Usage and activity informationWe may process information about how the Service is used, such as:sign-in activity;feature usage;capture and submission activity;completion of ShowMyAI learning activities;use of reports or portfolio features;timestamps; andother information required to understand adoption, engagement and operation of the Service.Technical informationThis may include:browser type and version;Extension version;device and operating system information;performance information;error or diagnostic information; andsecurity-related information.Support and communicationsIf you contact us, we may process:your name and contact details;the contents of your communication; andinformation reasonably necessary to investigate or respond to your enquiry.6. How we use informationWe use personal information only where there is an appropriate reason and lawful basis for doing so.Where ShowMyAI processes personal information on behalf of your university or organisation, we process that information in accordance with the institution's documented instructions and our Data Processing Agreement with that institution.This may include processing required to:provide the ShowMyAI Service;create and maintain user accounts;allow students to submit AI-use records;associate records with learning activities or assignments;provide reports and analysis;provide learning and reflection activities;create AI capability records or portfolios;make submitted information available to authorised institutional users;provide agreed institutional reporting;operate integrations with university systems; andprovide support.Your institution is responsible for determining the appropriate lawful basis for processing it controls.Where ShowMyAI acts as a controller in its own right, we may process information where necessary to:operate and administer the Service;maintain security;prevent fraud or misuse;troubleshoot technical problems;communicate with users;meet legal and regulatory requirements;understand and improve the performance of our Service; andprotect our legitimate business interests.Depending on the particular activity, our lawful basis may include legitimate interests, performance of a contract, compliance with a legal obligation or consent where consent is specifically requested and appropriate.7. What your university may be able to seeIf your university or organisation provides you with ShowMyAI, authorised members of that institution may be able to access information that has been submitted to the ShowMyAI Service.Depending on how the institution has configured ShowMyAI, this may include:AI-use records you submit;prompts and AI responses contained in those records;assignments or activities connected to your records;reflections you submit;reports or analysis generated from submitted information;AI capability or portfolio information;usage and engagement information; andrelevant institutional reporting.Your institution determines which of its staff are authorised to access institution-controlled information.Importantly, using the ShowMyAI Extension does not give your university access to every AI conversation you have.An AI conversation that you have not chosen to capture is not recorded by ShowMyAI.A capture that remains only on your local device and has not been submitted is not available to your university through ShowMyAI.8. AI analysisSome ShowMyAI features may use third-party artificial intelligence services to analyse information submitted to the Service.This may be used to provide features such as:feedback;AI-use analysis;learning activities;capability information;reports; andother functionality requested through the Service.Where personal information is processed through a third-party AI service on behalf of an institutional customer, we use appropriate contractual and data-protection arrangements.Users should avoid submitting personal, confidential or sensitive information to third-party AI services unless they are authorised to do so and it is necessary and appropriate for the intended purpose.ShowMyAI does not sell submitted AI conversations to third parties for advertising or marketing purposes.9. Institutional reportingShowMyAI may provide universities and other institutional customers with reports and analytics about their use of the Service.Depending on the agreed implementation, these may include information about:adoption and active usage;engagement with the Service;Extension usage;frequency of submitted AI-use records;AI tools being used;patterns of AI use;use across courses, subjects, modules or cohorts;engagement with learning activities;AI capability or literacy indicators;progression over time; andService performance.Reports may contain individual-level information where this is part of the agreed functionality, is permitted by the institution's configuration and is processed in accordance with applicable data-protection requirements.We may also provide aggregated institutional reports that help universities understand broader patterns of adoption, engagement and AI use.10. Anonymised and aggregated informationWe may create statistical, aggregated or anonymised information from use of ShowMyAI.This can help us understand broader questions such as:how students and educators are using AI;which AI tools are being used;how AI use differs between subjects or activities;how AI capability develops over time;how institutions are adopting AI;which parts of ShowMyAI are most useful; andwider trends in AI use and education.We may combine anonymised information derived from different users and institutions.We may use genuinely anonymised and aggregated information to:improve ShowMyAI;develop new features and services;improve our analytical methods;create benchmarks;conduct statistical analysis;support educational or academic research;produce sector reports and insights;demonstrate the impact and effectiveness of the Service; andunderstand broader trends in AI and education.We may share or publish genuinely anonymised and aggregated information with organisations such as:universities;researchers;education-sector organisations;customers and prospective customers;partners; andthe public.We will not use this provision to publish information that identifies an individual user.We will not identify a university or organisation as the source of information without its agreement.Removing a name or other obvious identifier does not necessarily make information anonymous. We will continue to treat information as personal information where an individual can still reasonably be identified.11. We do not sell personal informationWe do not sell personal information.We do not disclose personal information to third parties for their own advertising or direct marketing purposes.ShowMyAI does not use behavioural advertising cookies as part of the core Service.12. Service providers and subprocessorsWe use trusted third-party suppliers to help provide and operate ShowMyAI.These may include providers of:cloud hosting and infrastructure;authentication and identity services;database and storage services;communications;support and monitoring tools;learning platform integrations; andartificial intelligence services.Where these suppliers process personal information on our behalf, we require appropriate contractual and security safeguards.Where ShowMyAI acts as a processor for an institutional customer, relevant subprocessors are managed in accordance with our Data Processing Agreement.We do not allow our service providers to use personal information provided to them through ShowMyAI for their own advertising or marketing purposes.13. Third-party AI platformsThe ShowMyAI Extension may operate with third-party AI platforms.Those AI platforms are separate services operated by other companies.If you enter information directly into a service such as an AI chatbot, that information has already been provided to that third-party service before ShowMyAI captures it.Your use of those AI services is subject to the relevant provider's own terms and privacy practices.ShowMyAI is not responsible for how an independent AI platform handles information that you submit directly to it.You should always follow your university's guidance about which AI services you are permitted to use and what information you are permitted to submit to them.14. Browser storage and cookiesThe ShowMyAI Extension uses local browser storage where necessary to hold captures on your device before you choose whether to submit them.The ShowMyAI Service may also use browser storage and session cookies where required to:authenticate users;maintain a secure sign-in session;provide requested functionality;maintain security; andoperate the Service.We do not use advertising or behavioural tracking cookies as part of the core ShowMyAI Service.Where other storage or access technologies are used, we will provide appropriate information and choices where required.15. How we protect informationWe use appropriate technical and organisational measures designed to protect personal information against unauthorised access, disclosure, alteration, loss or destruction.Depending on the relevant system and information, these measures may include:encryption in transit;encryption at rest where appropriate;authentication and access controls;least-privilege access;secure cloud infrastructure;security monitoring;backup and recovery arrangements; andinternal confidentiality and access restrictions.No online system can guarantee absolute security, but we continually work to maintain appropriate protections for the information entrusted to us.16. Where information is storedOur primary hosting infrastructure is located within the European Economic Area.Some of our service providers may process information in other countries, including countries outside the United Kingdom or European Economic Area.Where a transfer of personal information requires additional safeguards under applicable data-protection law, we use appropriate transfer mechanisms and contractual protections.We also take steps to minimise the personal information transferred where reasonably possible.17. How long we keep informationWe keep personal information only for as long as reasonably necessary for the purpose for which it is being processed.Where we process information on behalf of a university or other institution, retention and deletion may be determined by our agreement with that institution.Submitted Customer Personal Data will ordinarily be deleted or returned following the end of the relevant institutional relationship in accordance with the applicable Data Processing Agreement, subject to any lawful backup or retention requirements.Information stored only within the Extension's local browser storage remains on the relevant device until it is deleted through the Extension, browser storage is cleared, or the relevant browser or Extension is removed, subject to the way the browser manages local storage.We may retain genuinely anonymised information that can no longer reasonably be linked to an identifiable individual.18. Your data-protection rightsDepending on the circumstances, UK data-protection law may give you rights including the right to:access personal information held about you;ask for inaccurate information to be corrected;ask for information to be deleted in certain circumstances;ask for processing to be restricted;object to certain processing;receive certain information in a portable format; andwithdraw consent where processing is based on consent.These rights are not absolute and may depend on the circumstances and lawful basis for the processing.Where your university is the controller of information processed through ShowMyAI, you may wish to contact your university directly about a data-protection request.You can also contact us at privacy@showmyai.ai. Where appropriate, we will assist your institution in responding to your request.Where EthosEd Ltd is the controller of the relevant information, you can exercise your rights directly with us at privacy@showmyai.ai.You also have the right to raise a concern with the UK Information Commissioner's Office if you are unhappy with how your personal information has been handled.19. Automated decision-makingShowMyAI may provide automated or AI-supported analysis, feedback, scores or indicators.ShowMyAI is designed to support human understanding and decision-making rather than replace it.ShowMyAI does not itself make final decisions about:academic misconduct;grading;assessment outcomes;student progression; ordisciplinary action.Universities remain responsible for their own academic and administrative decision-making processes.20. Children and younger usersShowMyAI is primarily designed for use in education.Where ShowMyAI is provided to students through a university, college, school or other educational institution, that institution is responsible for ensuring that its use of the Service is appropriate for its learners and supported by an appropriate lawful basis.The Service is not intended to be used independently by children under 13 without appropriate authorisation and supervision.We do not knowingly collect children's personal information in circumstances that would breach applicable data-protection law.21. Removing the ExtensionYou can remove the ShowMyAI Extension through your browser, subject to any restrictions that may apply if your device or browser is managed by your university or organisation.Captures that have not been submitted and remain only in local browser storage can generally be removed through the Extension, by clearing relevant browser storage, or by removing the Extension, depending on your browser.Removing the Extension does not automatically delete information you have already chosen to submit to the ShowMyAI Service.Submitted information is handled in accordance with this Privacy Policy and, where applicable, our agreement with your institution.22. Changes to this Privacy PolicyWe may update this Privacy Policy from time to time to reflect changes to:ShowMyAI;our technology;our service providers;legal or regulatory requirements; orhow we process information.When we make changes, we will update the “Last updated” date at the top of this page.Where a change materially affects how personal information is used, we will provide additional notice where appropriate.23.
